Privacy Policy

1. Information We Collect

Flight and operational data
NorthLog collects flight log records including date, time, location, aircraft serial number, pilot name, duration, altitude, distance, and notes. This data is entered by you manually, imported via CSV, or pulled automatically from your DJI RC Plus 2 controller via USB-C connection.

Maintenance records
NorthLog collects maintenance log entries including date, task description, technician, aircraft, and parts. This data is entered by you.

Pilot certificate information
NorthLog collects pilot certificate details including your name, certificate number, certification type, and issue date. This data is parsed from the certificate PDF you upload.

Account information
NorthLog collects your email address and display name when you create an account via Firebase Authentication.

Email integration data
If you connect Gmail or Outlook, NorthLog uses read-only access to search your mailbox for RPAS WILCO emails. It matches on the subject lines AIM Robotics uses ("Site Survey is Ready", "mission report is ready" and the French equivalents) and on the AIM Robotics sender address, so that surveys still attach when a message is forwarded or the sender varies. NorthLog opens and stores only the emails that match, along with their site survey and mission report PDFs, which are linked to the matching flight in your log. Anything that does not match is discarded immediately and is never saved, transmitted or processed. NorthLog never sends your mail anywhere. You can disconnect Gmail or Outlook at any time in Settings > Integrations.

Battery and aircraft data
NorthLog collects details about your aircraft and batteries that you enter manually, including serial numbers, purchase dates, and maintenance history.

Website contact and waitlist form
If you submit your email address on northlog.ca, that information is collected via Formspree and used only to contact you about NorthLog. We do not share it with third parties.

2. How We Use Your Information

We use your information to:

• Store and display your flight and maintenance records within the app
• Generate TC-formatted and FAA Part 107 PDF logbook exports
• Sync your data across your devices via Firebase Firestore
• Auto-attach RPAS WILCO documents to the correct flights
• Calculate pilot currency status and display expiry warnings
• Provide organisation-level logbook management for teams
• Respond to support and privacy inquiries

We do not use your data for advertising. We do not sell your data to third parties.

3. Data Storage and Security

Local storage: All data is stored locally on your device using SQLite. Local data is stored first and synced to the cloud when connectivity is available.

Cloud storage: Flight logs, maintenance records, pilot profiles, and aircraft data are synced to Firebase Firestore, hosted on Google Cloud infrastructure in the United States. Data is encrypted in transit (TLS) and at rest.

Email credentials: Gmail OAuth tokens are stored securely via the platform's secure credential storage. NorthLog does not store your email password.

4. Data Sharing

We do not sell, rent, or trade your personal information. We share data only with the following service providers as necessary to operate NorthLog:

• Firebase (Google LLC): authentication and cloud database
• Stripe: subscription payment processing for web and desktop
• Apple: in-app purchase processing on iOS
• Google Play: in-app purchase processing on Android

These providers are contractually required to protect your data and may not use it for their own purposes.

5. Your Rights Under PIPEDA

You have the right to:

• Access the personal information we hold about you
• Correct inaccurate information
• Withdraw consent and request deletion of your data
• Know how your information is being used

6. Data Retention

Your data is retained for as long as your account is active. Under Canadian Aviation Regulations (CARs 901.48), flight records must be retained for a minimum of 12 months. Maintenance records must be retained for a minimum of 24 months. If you delete your account, your cloud data is deleted within 30 days. Local data stored on your device is removed when you uninstall the app.

7. Children’s Privacy

NorthLog is intended for licensed commercial drone operators. We do not knowingly collect personal information from individuals under 18 years of age.

8. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by updating the effective date above. Continued use of NorthLog after changes are posted constitutes acceptance of the updated policy.
